Submittal Instructions

APlanner allows the you to create an electronic version of the Comprehensive QA Plan. The software creates a file with the extension .qap in the \qaplannr subdirectory on your PC. This is the file that must be copied and submitted to the QA Section (see "Required Documents" below).

Evaluator

Once the user is satisfied that the plan is complete, the [File | Evaluate QA Plan] should be executed. This function will provide a list of deficiencies (if any exist). This evaluation report can be printed. The user should then go back to the plan and either correct the error or delete the capability for which the evaluation item was generated. It is expected that the user will build the plan and be aware of all comments that are created during the evaluation process.

After the evaluation process is complete and the user is satisfied with the end product, the plan may be printed by executing the [File | Create QA Plan] command. This command goes through the evaluation process one more time and then prints the document, either to printer or to file. If there are any serious evaluation items that prevents the entire plan from being approved, the user will be given a message to this effect. Such plans will not be printed and it will not be approved if you attempt to submit the plan to QA. If some part of the plan can be approved, only those parts will be printed.

While a printed plan is not required for submission (see instructions below), the software can provide a printed copy for distribution. The printed plan includes a copy of the Statement of Intent for your signature as well as section numbering and header information. We have not had complete success controlling the print function of the software. which is apparently linked to the type of printer that is being used. For a cleaner copy of your plan, you will need to print to file (instead of to printer) to create an .rtf file (rich text) which can then be imported into any word processing software (Word, WordPerfect, WordPad, etc.).

Required Documents for Submittal

The required information that must accompany the plan depends upon the type of plan that is being submitted. There are 3 types of CompQAPs: complete SOP adoption; partial SOP adoption; and 15-Section plan. Even if using the 15-Section plan format, organizations are encouraged to use the QAPlanner software to capture their analytical and/or sampling capabilities and equipment.

The complete SOP adoption requires:

1. The .qap file on 3.5" diskette;
2. A
signed Statement of Intent (SOI) with original signatures; and
3. A cover letter.

The SOI generated by the software is recommended since it checks all of the appropriate boxes and even prints your name and address.

The partial SOP adoption requires:

1. The .qap file on 3.5" diskette;
2. A signed Statement of Intent (SOI) with original signatures;
3. Supporting text for any procedures not adopted; and
4. A cover letter.

As described above, the software can print the SOI for you.

The 15-Section plan requires:

1. The .qap file on 3.5" diskette (if the software was used);
2. Supporting text for all procedures; and
3. A cover letter.

The cover letter must denote the type of CompQAP; Sampling, Analytical, or Full Service. If submitting a "complete SOP adoption" type of CompQAP, do not send a printed copy of the plan. These submittals should be sent to:
